Factory Worker Attendance: How to Track Shifts, Night Shifts & Overtime
Factory worker attendance is harder than shop attendance because of shifts: day and night shifts, double shifts, shift changes and overtime. The simplest system is to record each worker's in-time and out-time per shift, mark double shifts and overtime separately, and let those entries calculate wages automatically.
Common shift attendance problems
- Night shift crosses midnight, so it is recorded on the wrong date
- A worker does a double shift but only one is written down
- Overtime hours are noted on scraps of paper
- The supervisor on the night shift keeps a separate register
- Late arrivals and early exits are never recorded
How to track factory shifts properly
1. Define your shifts
Write down each shift's start and end time, for example 8 am–4 pm, 4 pm–12 am and 12 am–8 am. Everyone, including supervisors, should use the same names.
2. Record in-time and out-time
For every worker, note when they started and finished. This settles most overtime and late-arrival disputes.
3. Mark night shifts against the shift start date
A night shift that starts on Monday at 10 pm and ends on Tuesday at 6 am counts as Monday's shift. Decide this rule once and apply it to everyone.
4. Mark double shifts as double
If a worker covers two shifts, record it as a double shift (2 hajri), not as a long overtime entry. It is clearer for both of you.
5. Record overtime separately
Overtime should be a separate number of hours. Under the new labour codes, overtime is generally paid at twice the normal wage rate and needs the worker's consent. Read our overtime and half-day calculation guide.
6. Use QR or face attendance at the gate
For 50+ workers, a QR code or face recognition at the entrance records in-times without a queue at the supervisor's desk.
Night shift tips
- Have one night supervisor responsible for attendance
- Check the night shift attendance first thing every morning
- Women working night shifts need written consent and proper safety and transport arrangements under the new labour codes
